DEPOSIT: A $150 nonrefundable deposit, and signed contract, will serve to hold the banquet room for the date and time you have chosen for your event. The deposit will be applied to the final bill with the following breakdown: $100 room charge, $25 Set-up fee, & $25 break-down fee.
GUARANTEE: We require that you guarantee payment for the final guest count 5 business days before your event. This will be the minimum number of guests you will be charged for, even if fewer guests attend.
FOOD AND BEVERAGE SELECTION: Final food and beverage selections are due 2 weeks prior to the date of your function.
FOOD: No outside food will be permitted without prior written approval of the restaurant management. Food remaining at the end of the function will remain the property of The Cooperstown Pepper Mill.
OVERAGES: We will allow and prepare for up to a 5% overage on all buffet main courses and sit down dinners. There will be NO overages on platters or Hors D'oeuvres please order accordingly.
LIQUOR: In compliance with the New York State Liquor Authority, The Cooperstown Pepper Mill, can not serve any person under the age of 21 The Pepper Mill reserves the right to refuse to serve any guest who may jeopardize his/her safety and/or safety or others. The Pepper Mill will not serve shots or shooters as part of any bar package. The Cooperstown Pepper Mill reserves the right to close the bar and/or terminate the function entirely at customer's expense if: any customer or guest has 1) brought any type of alcohol onto the premises without prior written approval of the restaurant management OR allows any minor to consume any alcohol beverage.
ROOM SETUP: The size of your group will generally determine the most appropriate seating arrangement. We would be happy to discuss specific table configurations in order to provide the best dining experience for your guests. Room and table decorations are the sole responsibility of the host. If you wish us to set-up decorations for your event, extra charges may apply. All standard linens, china, flatware, glassware, table & chairs are included with all banquet functions.
DECORATIONS: The Cooperstown Pepper Mill reserves the right to refuse any customer decoration on the basis of fire, health or liability violations. The Cooperstown Pepper Mill further reserves the right to refuse decorations that will damage or otherwise physically change the facility.
DATE AND TIME: Your deposit holds the date and time you have selected for your function. It is the customer's responsibility to alert the event attendees to the time(s) when food will be served. The Chef and his team will not be able to postpone the service of food for more than 20 minutes after the scheduled time marked upon the contract. If the guests have not arrived by the appointed time, you expressly agree to indemnify, release and hold The Chef and The Cooperstown Pepper Mill harmless of the quality and/or condition of the food.
CORKAGE: We encourage you to select your wine from our list. If, however, you are unable to find a selection you desire, we will gladly uncork and serve your wine for $10 per 750 ml bottle.
CAKE CUTTING: If you choose to provide your own cake or dessert, we will gladly, plate & serve your cake or dessert for $1 per person.
TAX & SERVICE: Prices do not include tax or gratuity. Please add 8% sales tax and 20% gratuity to all prices.
LIABILITY: Customer agrees to be responsible for any and all liability and damage done the to premises during the period of time for setup, the actual event, and tear down by customer, customer's guests and customer's suppliers and other third parties who are present at customer's request.
The Cooperstown Pepper Mill will not assume any responsibility for the damage or loss of any merchandise or articles left on the premises prior to, during or following the event; including but not limited to personal articles, cake decorations, pillars, dividers and cake tops.
The customer, on behalf of the customer and all customer's guests, expressly agrees to indemnify, release and hold The Cooperstown Pepper Mill ("Restaurant") harmless of, from and against any and all losses, costs of collection, damages, attorneys fees, expenses, and all claims & liability growing out of, or resulting from this agreement, customer and customer's guests, or third parties' personal injury associated with use of said premises (including but not limited to slips and falls), the service and consumption of alcoholic beverages and/or food, and any act of negligence by the Restaurant. The Restaurant is not liable for utility outages including but not limited to water, natural gas and electricity. No refunds will be made should utility service be interrupted.
